If your team copies data between apps, chases leads by hand or writes the same reply every day, workflow automation is the lowest-risk place to start with AI. This guide explains what it is, how the three best-known tools price their plans, and how to choose without surprise bills.
The short answer
AI workflow automation means a trigger (a new lead, an email, a form) starts a series of actions across your apps, and some actions use an AI model for work that needs judgement. The main decision is not the brand. It is which pricing unit matches how your workflows behave.
How the three tools charge
| Tool | What you pay for | Entry points (published prices) |
|---|---|---|
| Zapier | Tasks: each successful action in a workflow | Free with 100 tasks a month and two-step workflows; Professional from $19.99 a month; Team from $69 a month |
| Make | Credits: most actions cost 1 credit, some AI features more | Free plan with 1,000 credits a month; paid plans sold in credit tiers |
| n8n | Executions: one full run of a workflow, however many steps | Starter €20 a month and Pro €50 a month (billed annually); self-hosted Community Edition |
A few details from the vendors' own pricing pages that change the maths:
- Zapier does not charge a task for the trigger, or for built-in tools such as Filter, Formatter and Paths. One Zapier MCP tool call uses two tasks. Failed actions do not count. It lists 9,000+ app integrations and a 14-day free trial of Professional.
- Make moved to credits as its billing unit from 27 August. Router and error-handler modules do not use credits. If you run out, scenarios stop until credits are added. It lists 1,000+ standard apps.
- n8n says an execution is a single run of the whole workflow, regardless of steps. Starter includes 2.5K executions a month, and its example notes a schedule running every five minutes uses roughly 8,600 to 8,900 executions a month. The Business plan is listed at €667 a month and is self-hosted only.
A worked example (our assumption)
Say a workflow handles each new website enquiry in five steps: save it to a sheet, ask an AI model to classify it, create a CRM contact, notify sales and send a confirmation email. If you get 500 enquiries a month:
- Under per-action pricing (Zapier tasks or Make credits) that is up to about 2,500 billable actions, if each step counts once.
- Under n8n's model it is 500 executions.
Real counts differ because some steps are free and AI steps can cost more, so always rebuild the estimate with the vendor's calculator. The point is that step count multiplies cost in two of the three models.
Which one fits
- Choose Zapier when you want the biggest app list, a gentle learning curve and your workflows are short.
- Choose Make when you want a visual builder with branching and are comfortable watching credit use.
- Choose n8n when workflows are long, you want to self-host, or you want to keep data on your own server.
- Choose a custom build when workflows touch your own systems, need strict rules or run at high volume.
Start small: a safe first project
- Pick one repetitive process that has a clear start and finish, such as enquiry follow-up.
- Write the steps on paper first and mark which need AI.
- Count how often it will run each month, then price it in each tool.
- Give each connection the minimum permission it needs.
- Keep a human approval step before anything is sent to a customer or money moves.
- Add an alert for failed runs so errors do not go unnoticed.
- Review the run history weekly for the first month.
