Missed calls cost small businesses real money, and hiring someone to answer the phone around the clock is rarely realistic. That is why AI voice agents are getting attention. This guide explains what they are, what the published prices look like, and how to decide whether one fits your business.
What an AI voice agent is
An AI voice agent is software that talks on the phone. It turns the caller's speech into text, uses a language model to work out what is being asked, and replies in a synthetic voice. Connected to your calendar, CRM or helpdesk, it can also do things: book an appointment, check an order, take a message or transfer the call to a person.
It is different from an old phone menu ("press 1 for sales"), because the caller simply speaks. It is also different from a website chatbot, because voice is harder: delays and misheard words are noticeable on a call.
What it costs: published prices
Platform pricing is usage based, charged per minute of conversation. Two published examples:
- Retell AI lists pay as you go at $0.07 to $0.31 per minute for voice agents. Its own example configuration on the pricing page adds up to $0.11 per minute: $0.04 for the language model, $0.055 for voice infrastructure and $0.015 for text to speech. Billing runs to the nearest second and includes silence and hold time. A phone number is listed at $2 a month, and the first 20 concurrent calls are free.
- Vapi lists a $0.05 per minute hosting fee with model costs passed through at cost. Its own estimator shows $82 to $129 a month for 1,000 minutes using a speech to text, language model and voice provider, and lists Twilio inbound calls at $0.008 per minute. A Core support package is $29 a month, and a HIPAA compliance add-on is listed at $2,000 a month.
As a rough illustration of our own: if your business gets 250 calls a month averaging four minutes, that is 1,000 minutes, or about $110 at Retell's example rate. Your own figure will move with the model, voice and number of calls. These are what the platforms charge. A custom build adds design, integration and testing work on top.
When it makes sense
An AI voice agent works best when calls are repetitive, have a clear goal and a safe fallback:
- After-hours and overflow calls that would otherwise go to voicemail.
- Appointment booking, rescheduling and reminders.
- Order or delivery status, opening hours, directions and simple FAQs.
- First-step qualification of enquiries, passing the details to your team.
It is a poor fit for emotional or high-stakes calls, complex negotiations, and anything where a wrong answer is expensive, such as medical advice or legal commitments.
Rules to know before you launch
United States. In February 2024 the FCC announced a unanimous Declaratory Ruling that calls made with AI-generated voices are "artificial" under the Telephone Consumer Protection Act (TCPA). Law firm summaries of the ruling say callers using such voices need to get at least prior express consent before calling. If you plan outbound calls, speak to a lawyer first.
India. If the agent records calls or stores personal data, see our DPDP rules checklist for what to disclose and how to handle consent.
Everywhere. Tell callers they are speaking to an AI, offer a way to reach a person, and keep recordings and transcripts only as long as you need them.
A decision checklist
- Can you list the three most common reasons people call you?
- Does each have a clear right answer the agent can look up or do?
- Is there a human fallback, such as a transfer or a callback promise?
- Have you estimated monthly minutes and priced them with the vendor's calculator?
- Do you know which calls must never be handled by the agent?
- Have you written test calls, including accents, background noise and angry callers?
- Do you review transcripts weekly for the first month?
Platform or custom build?
Platforms like the ones above get a basic agent running quickly. A custom build makes sense when the agent must work with your own systems, follow strict rules or handle several languages. If you are weighing agencies, how to choose an AI agent development company gives ten questions to ask.
