A chatbot on your website can answer questions at midnight, capture leads and save your team hours. But a poorly planned bot frustrates visitors. Follow these steps for a useful one.
Step 1: Pick one clear job
Choose a single starting use case:
- Answer FAQs (hours, prices, policies)
- Capture and qualify leads
- Book appointments or demos
- Track orders or provide account help

Step 2: Define success
Examples: “answer 50% of common questions without a human” or “book 20 extra demos a month.” You will use these to judge results.
Step 3: Gather and clean your content
List the questions customers actually ask and write accurate answers. Collect policies, product pages, price lists and past support replies. Remove outdated or conflicting information — poor data is a leading reason AI projects disappoint.

- Ask only the details you need (name, contact, need).
- Provide an easy way to talk to a human.
- Write the bot’s tone to match your brand.
Step 6: Connect your systems

Step 7: Add guardrails
Decide what the bot must never do: give legal or medical advice, promise refunds, or share private data. Add filters, limits and escalation rules.
Step 8: Test before launch
Try 50–100 real questions, including unusual and rude ones. Check accuracy, tone and hand-offs. Fix gaps in your content.
Step 9: Launch gradually
Start on a few pages or a share of visitors. Tell your team how hand-offs work. Review conversations daily at first.
Step 10: Measure and improve
Track resolution rate, hand-off rate, leads captured, customer satisfaction and unanswered questions. Update content weekly. Also protect visitor privacy: link to your privacy policy and avoid collecting sensitive details.
